Secure Legal Document Management on AWS for Quiroga Law Office

How ASCENDING helped Quiroga Law Office secure document uploads and sharing in its Gladiator platform using AWS-based pre-signed URL workflows and controlled access patterns.

Secure Legal Document Management on AWS for Quiroga Law Office case study
Faster UploadsDirect browser-to-storage transfer using pre-signed URLs
Stronger Access ControlPermission-aware, temporary file sharing links
Improved User ExperienceSimplified secure sharing across Gladiator users

Quiroga Law Office needed a secure and scalable way to handle legal document uploads, audio translation files, and video evidence inside its Gladiator application. ASCENDING implemented an AWS architecture that streamlined direct uploads, strengthened permission-based sharing, and improved day-to-day user experience for lawyers and staff.

Background

As Quiroga expanded, more legal professionals joined the firm and case operations became more data-intensive. To support internal workflows, the firm built Gladiator, an application used by lawyers to manage case activities such as PDF uploads, phone recording translation, and video upload and streaming.

As usage increased, the team needed a reliable cloud design to support secure document handling, controlled sharing, and operational efficiency without adding unnecessary friction to legal staff workflows.

The Challenge

Quiroga had to modernize document handling while maintaining strict confidentiality and practical usability for internal and client-facing legal work.

  • Limited in-house AWS infrastructure expertise and constrained development bandwidth slowed implementation.
  • The firm needed secure upload patterns for sensitive legal files, scans, and audio/video evidence.
  • Internal sharing required encrypted, permission-aware access controls to prevent unauthorized file exposure.
  • File-transfer overhead in traditional app-mediated upload patterns increased latency and operational load.

Why ASCENDING

ASCENDING was selected for its practical experience designing secure AWS architectures for regulated and sensitive data workflows. The engagement required a team that could combine cloud implementation speed with governance-first design for access control and sharing.

ASCENDING provided both architecture guidance and implementation support to help Quiroga modernize Gladiator's file handling model while keeping security and user experience aligned.

The Solution

ASCENDING designed a secure upload-and-sharing workflow that uses pre-signed URLs for direct object transfer, identity-aware sharing controls, and cloud-native processing services for legal media content.

Architecture diagram

  1. Implemented direct upload/download flows using Amazon S3 pre-signed URLs to reduce application-layer transfer overhead.
  2. Added permission checks in Gladiator so sharing links are generated only for authenticated, authorized users.
  3. Designed temporary, one-time style access patterns for shared files to limit unauthorized reuse.
  4. Used Route 53, Application Load Balancer, and EC2 Auto Scaling to support resilient application delivery.
  5. Integrated Amazon RDS for core application data and AWS Elemental MediaConvert for media processing workloads.

The Outcome

The new architecture improved how Quiroga manages secure legal file uploads and controlled sharing in daily operations.

  • Reduced time and resource overhead for file transfer operations.
  • Improved access governance for shared case documents and evidence assets.
  • Enabled a more secure, convenient sharing experience for Gladiator users.
  • Strengthened the platform foundation for continued growth in document and media volume.
